All this adds up. Especially if you’re working from a legacy TMS that doesn’t integrate with any port systems.

Not only does this mean hopping between multiple portals, but it leads to double data entry, missed timeslots, drivers waiting at the gate without a code, and no single view of the order from booking to invoice.

In this blog, we’re going to look at just how much time and efficiency you can gain from having a connected TMS and port community system.

What a Port Community System actually is

A port community system (PCS) is a neutral, digital platform that connects all the different parties involved in moving goods through a port – customs authorities, terminal operators, shipping lines, forwarders, hauliers, and government agencies – so they can exchange information through one shared system instead of each party using separate, incompatible tools.

Portbase is the perfect example of a PCS, connecting all the parties involved in moving goods through the Port of Rotterdam and Port of Amsterdam.

Without a PCS, data exchange is fragmented, and often paper-based – taking place across phone calls, faxes, and portals without structure.

Then add in a separate system for managing your transport and your day quickly gets swallowed up by admin and manual reentry.

The challenge of a disconnected TMS + PCS setup

So, what does a standard day look like when working across multiple systems that don’t talk to each other?

Manual re-keying of bookings and status checks between systems – with no integration, information has to be typed in at least twice, costing time and increasing the risk of mistakes.

No visibility into container status inside your planning tool – in order to plan accurately you need to know when ships and containers are arriving so you can organise the next leg of transport, but it’s made much harder when you have to cross-check against multiple portals and sites.

Delayed or missed timeslots, demurrage risk, driver downtime at the terminal – with two separate sources of “truth”, there’s no way of seeing within your TMS if a terminal accepts, rejects or shifts a slot. You have to rely on someone logging into the PCS in time to see this information.

Customs document handling (T1, MRN) as a separate manual chore – documentation isn’t stored in one place or tied directly to an order, making slip ups or missing documents more likely.

All these tasks are interlinked and if just one part of the chain goes awry, it can result in costly errors. And it’s time that could have been spent on exception management.

Integrating your port system eases a lot of this manual burden and lets you focus on tasks that will actually move the needle.

What “integrated” looks like

At Qargo, we’ve built a robust and varied ecosystem of partners that connect with our TMS. Portbase is one of these partners that we integrate with to make our customers’ lives easier – by removing the manual, portal-based work that traditionally sits between the transport plan and the terminal.

How does the integration work?

Status requests — Live container status is pulled straight into the order, no separate lookup. Planners see arrival, gate-in, and discharge status right on the handling they’re already working from, instead of switching tabs to the Portbase portal or waiting on a phone call to the terminal to confirm where a box actually stands.

Visit booking & pre-notification — Book a visit and get a timeslot plus TAR/TAS code back automatically, coupled to the relevant handling. This removes a manual round-trip: no separate portal booking, no copying the reference number back into the plan by hand, and no risk of a driver showing up to a slot that was never actually confirmed.

Secure Chain — Digital nominations from shippers/forwarders flow straight in, with delegation handled automatically. Since Portbase’s Secure Chain replaced the old PIN-based release process, only the party that’s been digitally nominated can pre-notify and collect a container. Qargo processes that nomination and passes the pickup right down the chain – to the executing carrier – without anyone re-keying authorisation details or chasing a release note by email.

Timeslot optimisation — Rather than locking in whatever slot happens to be available at the moment of booking, the system can keep checking for a slot that fits the plan better — so drivers spend less time waiting around for a window that was never a great fit to begin with. This currently works on a per-terminal basis, so it’s available at select terminals only at the moment.

The bigger picture

By integrating your TMS and PCS – in this case, Qargo and Portbase – you create not just a booking-to-terminal flow, but the entire order-to-invoice flow.

Through our integrations, Qargo allows transport operators to manage the full transport cycle in one place: order intake → planning → execution/POD → invoicing.

And our PCS integration removes one more manual handoff and all the portal hopping from this chain.

This level of transparency and insight is valuable regardless of your business size, but becomes even more critical as volumes grow. After all, the pain of disconnected systems scales with your operation, not away from it.

Want to find out more about how Qargo’s integration with Portbase can help make your container flows more efficient? Sign up for our joint webinar on October 21st to hear from our experts.

As a container operator, you’ll know just how much time you spend logging into your port system to check container status, book a terminal visit, or chase TAR/TAS codes.
