Right now, Qi is already working quietly behind the scenes in our TMS platform. Here’s what it’s doing, right now for our clients, to cut admin and speed things up.

  1. Order entry

Manually typing out orders or copying and pasting from emails? That’s ancient history.

Our AI understands your customers’ order formats, whether they send structured PDFs or plain-text emails and Qi automatically scans PDF attachments first and pulls out the relevant data. If there’s no attachment, it processes the email body instead, turning it into clean, structured order info. 

When planners start filling out a new order, that information & data is preloaded into the form. Reducing manual input, speeding things up and cutting the risk of errors. It’s especially useful for high volumes, where every second counts.

And because the AI learns from you, it keeps getting better at recognising the formats and details that matter to your business.

2. Purchase invoicing

Self-billing used to mean tediously jumping between documents, checking rates and endlessly chasing paperwork – more often than not POD’s. Now, it’s as easy as reviewing and hitting “approve.”

Qargo cross-checks PODs, signatures, rates and surcharges automatically then generates a purchase invoice for you. Importantly, exceptions are always flagged instantly for your review, and everything else just flows.

3. Document processing

A driver uploads a scanned POD and instead of someone rekeying the details and potentially missing a detail or two, our Qi pulls out exactly what’s needed: seal numbers, container IDs, reference numbers and more.

But it doesn’t stop there. One of the most frustrating manual jobs is tracking down the original customer order or trip to match the POD to. With Qargo, that’s automatic. Qi connects the document to the right job in the system, no need for your planners to dig through emails, files or messy folders.

That data feeds straight into the order, saving time and avoiding silly mistakes.

4. Quality control

Not every document needs a second look. Our RAG (red-amber-green) system* grades documents for clarity and completeness, so your team only deals with the ones that need fixing. Qi flags the ones that might be harder to read or missing key details like seal numbers, times, weights, CMR and MRN numbers, container references or IDs and other key details.

How the RAG system works:

Every field pulled from a document is colour-coded to show how it compares to your job record:
Green = Perfect match: No action needed.
🟠 Orange = Slight difference:  e.g. a time or weight doesn’t match. You choose whether to update the job.
🔵 Blue = Missing value: Something is on the document but not in the job. Add it with one click.

 It’s a smarter way to keep finance and compliance moving,  without wasting time on the rest.

5. Signature detection

You shouldn’t need to open a file just to check if it’s been signed.

That’s why Qargo scans PODs and CMRs to detect signatures automatically, showing you who signed and what type of signature from sender, driver, carrier to consignee, and where (down to the latitude), right inside the platform.

6. Company summaries

Whenever you add a new customer or subcontractor, Qargo pulls in verified publicly available data to give you a clear view of who you’re working with like: company size, activity, turnover and more. It’s instant context, so your team can move faster without digging around for background info.
