It’s very intuitive. It leads to the next step without thinking. — Gudrun, Co-owner & Operations Manager, Deny Logistics BV
About Deny Logistics
Deny Logistics BV is a Belgian 3PL and freight forwarder built on a simple but important model: dedicated service, regardless of shipment size. A family business led by Gudrun and her husband, the company manages a full range of transport across road, sea, and air, alongside warehousing and customs services.
What makes Deny Logistics genuinely distinctive is their niche. They specialise in chemicals and dangerous goods, storing a high proportion of ADR-classified products and coordinating the complex transport flows that come with them. Their clients — many storing between 1,000 and 5,000 pallets — choose Deny Logistics because of the flexibility and bespoke service they offer.
As a pure 3PL, Deny Logistics organises and buys transport on behalf of their clients, which makes efficiency, visibility, and coordination across shipment files critical to everything they do.
The challenge
Deny Logistics had been running on an alternative TMS for years. Built on a legacy Windows platform, it lacked cloud capability, offered limited integration options, and would have required a substantial investment just to bring it up to date.
The gap was felt most sharply in the container and sea freight teams. Working in pairs, these teams were managing complex shipment files largely on paper — tracking what had been done, what still needed action, and what was waiting on third parties — with no clear digital overview. If one person was absent, the workload on the other became unmanageable.
We were looking for something more modern, cloud-based, and able to work with OCR and new technology. The system should help you through the next steps without having to think too much.
The solution
After evaluating options, Deny Logistics chose Qargo for its intuitive interface, cloud-based architecture, and flexible configuration. Crucially, the switch didn’t require reinventing how they worked — just digitising and automating the parts that had been slowing them down.
One of the most impactful early wins came through Qargo Intelligence (Qi). Orders are now scanned directly into the system via AI-powered document recognition, and inbound supplier invoices are scanned and automatically linked to the corresponding trips. What previously required manual input across multiple systems now happens in the background.
The customer portal has also transformed how the sea freight team communicates with clients. Previously, they’d manually prepare and send Excel sheets so customers could track incoming shipments. Now, clients log in and check themselves.
“Once you have your screens like you want them, your flows like you want them, and your tasks like you want them, Qargo is very easy for your team to work with,” says Gudrun. ” It’s very intuitive — it leads to the next step without thinking.”
The team at Deny Logistics has found Qargo’s support invaluable in helping them become self-sufficient on the platform. With an AI-powered chat and a comprehensive Knowledge Hub packed with practical guidance, they can quickly find what they need to get the most out of the product. And whenever they need it, our friendly support team is always on hand to provide a human touch.
Integrations
To connect Qargo with their wider technology stack, Deny Logistics has integrated:
WMS: Their warehouse management system was integrated before go-live, keeping stock and transport data aligned from day one
Odoo: Invoices prepared in Qargo will sync to their ERP for accounting and financial management
Partner carriers: Bespoke integrations with key transport partners are in progress, set to eliminate manual order duplication across systems
The onboarding experience
Deny Logistics went live in under a week, rolling out road transport first, with the sea freight department following a few days later. Rather than migrating live orders, they took a clean-break approach: finishing outstanding jobs in the old system and starting all new orders in Qargo.
For the wider team — some of whom had used the old system for over ten years — adoption was smoother than expected. The key, Gudrun believes, was that the underlying process didn’t change. Just the tool.
“The information was the same. Just different fields to fill in. And as the system is so intuitive, they were used to it within a few weeks. I don’t think they’d want to go back now.”
The results
Since going live, Deny Logistics has seen clear improvements in team resilience, client communication, and day-to-day operational efficiency.
✅ Greater team resilience: Container and sea freight teams of two can now manage solo days without significant overtime, something that wasn’t consistently possible before
✅ More time for customers: With less time spent on operational admin, planners have more capacity to focus on client communication and proactive follow-up
✅ AI document scanning live: Orders and inbound supplier invoices are scanned and linked to trips automatically via Qargo Intelligence, reducing manual input across departments
✅ Manual Excel reporting eliminated: The customer portal has removed the need for the sea freight team to manually prepare and send shipment status spreadsheets to clients
✅ Live in under a week: Go-live completed with no disruption to ongoing operations, using a clean-break migration approach
What’s next
Deny Logistics is focused on consolidating their first year with Qargo, getting the foundations laid before expanding further. Near-term priorities include completing the bespoke partner carrier integrations currently in progress, and deeper Odoo connectivity on the supplier billing side.
Further down the line, easier custom reporting and continued automation are on the radar — as Deny’s team adopts more of Qargo’s functionality.
