“Before Qargo, we were finishing at 9:30 or 10pm. Now, if we’re still here at 8pm, it’s a bad night. That’s two hours saved, every single day.”

About Wyvern Cargo

Wyvern Cargo’s story is one of longevity, loyalty, and a love of logistics.

Wyvern Cargo is a Dorset-based transport and warehousing business providing general haulage, pallet network, warehousing and distribution services across the UK. Now in its 50th year, the company operates a 75-strong fleet with nearly 100 trailers, and employs over 130 people- and it’s busier than ever.

With a wealth of customers ranging from food manufacturers to packaging producers and a growing volume of residential deliveries, Wyvern is known for offering a personal service, regardless of order size.

“Whether you send one pallet or 100, we treat every customer the same.” – Simon, Operations Director, Wyvern

How they found Qargo

Simon, Wyvern’s Operations Director, first came across Qargo on LinkedIn. Around the same time, discussions with Palletforce highlighted a key challenge: the shift from EDIs to APIs.

“Our old TMS  system couldn’t support the API integration Palletforce required and upgrading it would’ve been hugely expensive. We needed a better option.”

After several in-depth demos with Simon, Wyvern invited their planners to test Qargo.

Their response?

“They walked out saying, ‘Can I have it tomorrow?’”

“The visibility, the speed, the automatic routing… it was clear we could work so much smarter.”

The challenge

With their warehouse and fleet at maximum capacity, the team faced a challenge: how could they keep growing, without growing?

Behind the scenes, their legacy TMS was starting to show its limits, especially as Palletforce accelerated its move towards API integrations.

Planning was manual. Invoicing was clunky. And visibility,  both for the team and customers, was limited.

Key issues included:

  • Time-consuming job routing and label printing
  • Manual data entry across planning and invoicing
  • Limited customer self-service and real-time updates
  • No automation or API availability to match Palletforce’s upcoming requests

It was clear they had outgrown their legacy TMS.

The solution

Qargo replaced Wyvern’s legacy system with a faster, smarter, and more intuitive platform. “Everyone in the business used our old system, so it meant changing everything,” Simon recalls. “There were teething problems, but the onboarding team were brilliant, hands-on, responsive, and got things fixed quickly.”

By week two, most teams were back to full speed. And by the end of month one, they were faster than ever.

Big wins in planning and admin

One of the most noticeable changes came in the planning teams.

We used to have someone manually routing 150–200 pallet jobs a day,” Simon says. “Now so much is  automated- he actually got bored!”

Jobs flow more efficiently, with less room for error. And job status visibility is better. With real-time ETAs and scanning updates, customers no longer need to call for updates –  “now our customers can see what’s happening with their delivery without having to call. That’s a big deal.”

So their customer service team can resolve issues faster, without needing to chase other departments.

Embracing intelligent features

Wyvern has also embraced Qargo’s AI particularly for data entry and document management.

“It reads customer orders and auto-fills job fields. It’s faster, more accurate, and all the paperwork is attached automatically,” says Simon.

In one instance, Qargo Intelligence, also saved them in a billing dispute as the AI summary backed up their interpretation of a vague customer request & saved the original email to the order task.

The benefits even extend to the warehouse and evening shifts.

“We used to print piles of paperwork. Now, drivers use the app for everything, ePODs, signatures, photos. We’ve almost fully retired paper.”

Key benefits of the switch included:

  • Smart route optimisation for pallet jobs: Qargo streamlines planning by automatically suggesting the most efficient routes based on delivery points, vehicle types, and restrictions, saving planners significant time and cutting empty mileage.
  • Bulk invoicing and rate card setup, cutting turnaround from weeks to days
  • AI-assisted job entry, reducing errors and speeding up processing
  • ePODs via the mobile driver app, replacing hundreds of daily paper prints
  • Customer portal with real-time tracking and ETAs, reducing inbound calls

Two hours saved every night

Possibly the biggest improvement? Time.

“Before Qargo, our evening shift finished at 9:30 or 10pm. Now if they’re still working at 8pm, it’s a bad night,” Simon says. “That’s two and a half hours saved every single day.”

The results

✅ Evening shift finishes 2–3 hours earlier every day
✅ Planning teams absorbed extra work without needing new hires
✅ Missed collections reduced significantly
✅ ePODs fully digitised, with customer-branded delivery notes
✅ AI summaries validated invoice disputes
✅ Mobile driver app adoption improved compliance and removed manual uploads

What’s next?

Looking ahead, Wyvern plans to deepen their integrations, especially with warehouse operations and customer systems. They’re also excited about the rollout of WhatsApp messaging within the Qargo platform and mobile driver app.

“The team is excited to use it”

By continuing to evolve their processes with Qargo, Wyvern Cargo is laying the foundation for sustainable, scalable growth. Powered by smarter systems, not bigger teams.

Final thoughts

“Changing your TMS means changing everything. It’s not just automation, it’s a whole new way of working” Simon says. “But once people adapt, it’s better across the board.”

“Anything we adopt now has to integrate with Qargo”

And for any operators still on the fence?

“Test it. Properly. Integrate wherever you can. And be ready to rewrite the rulebook — because it’s worth it.”
