About T-Trex

T-Trex Venlo B.V. is a Netherlands-based transport operator specialising primarily in full truck loads across Europe, with a strong foothold in the food & beverages sector.

Founded in 2009 and still privately owned, T-Trex was built around one major soda customer, and has since grown its portfolio to include numerous A-brands, and a broad mix of smaller shippers in adjacent manufacturing sectors. Around 90% of its work today is in food and drink, supported by IFS certification to meet strict quality standards. 

The team runs operations with 10 office employees and a fleet of around 35 subcontracted drivers, focusing on:

  • Full truck loads across Europe
  • LTL / groupage and partner-based distribution
  • Time-sensitive food & beverage movements

In a market full of large, complex organisations, T-Trex is intentionally different: fast, human and easy to work with. 

How they found Qargo

T-Trex had been using a legacy TMS for years. It did the job up to a point  but it wasn’t keeping pace with how the business wanted to work. The team started looking at alternatives and met Qargo at a transport and logistics trade show in the Netherlands November 2024, where T-Trex’s owner, Marcel, first spoke with the Qargo team.

A few weeks later, Olivier from Qargo visited Venlo to run a live demo. T-Trex had already spoken to other providers, but something felt different.

“We’d seen other TMS presentations, but they were mostly PowerPoints. With Qargo, Olivier showed the real system, live. It was exactly what we needed at that moment. We were sold.”

Qargo wasn’t just promising a better TMS on slides – it was showing a fully working platform that matched what the team wanted: modern, fast, and built for end-to-end efficiency.

The challenge

By early 2024, T‑Trex had outgrown its previous TMS setup. Day‑to‑day operations were slowed by manual entry and Excel workarounds. Order capture and planning were time‑consuming. Invoicing lagged, and EDI connections required re‑keying key fields like pallets, weights, and dates before jobs could flow. For a small team built on speed and service, the friction showed.

“Our old stack wasn’t future‑proof. Progress was slow, efficiency was low, and too much relied on manual steps.”

Key challenges included:

  • Manual order entry: Every address and job detail had to be typed in from scratch, every time.
  • Basic planning: Limited visualisation of trucks and loads; planners couldn’t see the full picture on one screen.
  • Slow invoicing: Finance depended on paper trails and manual checks before invoices could be issued.
  • Inefficient EDI connections: Even with an existing EDI link to Transporeon, the team still had to re-key key fields like pallets, weights and dates.
  • Paper everywhere: Desks were covered in trip sheets, CMRs and print-outs.

The team had an EDI connection, but they still had to update customer names, pallets, weight, dates. They received the order, but then still had to do a lot of manual work before the order could be put into planning.  The system wasn’t keeping up. It limited efficiency, made it harder to scale, and didn’t support the kind of paperless, future-proof operation T-Trex wanted.

The solution

Qargo’s modern, web-based solution connects the entire journey: “From incoming order to invoicing, everything is so much easier with Qargo.”

Faster order entry with Qargo Intelligence

The first big shift came at order entry. T-Trex now uses Qargo Intelligence (Qargo’s AI engine) to:

  • Read PDFs and emails and turn them into orders automatically
  • Build and reuse templates for regular transport orders
  • Suggest addresses and customer details from just a few letters, matching against live data

“If a customer sends us a new address, we just type a few letters and Qargo suggests the full address. When we add a new customer, it can pull the VAT number and other details automatically. It all adds up and makes things a lot faster.”

For regular flows, planners can simply copy from templates instead of building orders from scratch.Mike personally saves one or two hours a day just by copying our standard transports from templates instead of creating them one by one.

Smarter planning, better visibility

On the planning side, the team moved from spreadsheet-heavy workflows to a single, visual planning board: Planners can see all loads and trucks on one screen, plus a live map view, colour-coding helps distinguish different types of work at a glance, and orders now flow cleanly from EDI to planning without manual re-keying

“For the planning department, it’s much easier. They see everything on the screen and on the map – where the trucks are and where the loads are. That makes planning a lot more convenient than before.”

Faster invoicing and automatic proof of delivery

One of the biggest wins has been at the end of the process. As soon as a job is delivered, invoicing can start:

  • Completed jobs appear automatically for finance as ready to invoice
  • The team can see whether a CMR is already attached
  • With one click, the order is invoiced

For proof of delivery, Qargo Intelligence reads and tags scanned CMRs – even handwritten ones.“When we get signed CMRs, we upload them and Qargo connects them automatically to the right order. We don’t have to search the system or link documents manually anymore – even the handwritten CMRs are recognised. That really surprised me.”

Purchase invoicing will also be moved into Qargo from January, bringing the whole order-to-cash flow into a single system.

Integrations

To keep operations flowing smoothly, T-Trex integrates Qargo with key systems:

  • Transporeon – for automated order intake from major food & beverage customers
  • Twinfield – for accounting and financial processes

The Transporeon integration was particularly powerful.“I’m used to EDI connections taking days or weeks to set up. With Qargo, it felt like one day and it was running.We did a few tests, they made some tweaks, and it just worked – without any real problems.”

Unlike their previous TMS connection, the Qargo–Transporeon link removed the need for manual updates to incoming orders – no more re-entering pallets, weights or dates.

The onboarding experience

T-Trex’s onboarding was led by Muhammed from Qargo’s onboarding team – and he made an immediate impression. “It felt like he was an employee of T-Trex.He put a lot of effort in, and without someone like him I don’t think the project would have been achievable.” The rollout followed a clear path:

  • Sandbox first – Mike and a colleague tested workflows in a safe environment
  • Online sessions – deep dives into planning, invoicing and rate cards
  • Onsite go-live support – Mohammed spent several days at T-Trex, fine-tuning workflows and solving issues in real time

From initial sandbox sessions to full go-live, the entire project took around six weeks.“We don’t have 100 people, so that helps – but still, going live in six weeks is fast. Muhammed showed us smarter ways to do things, especially with rate cards. I had my own workaround, but his way was much more efficient.”

Going paperless overnight

Perhaps the biggest cultural shift was how quickly the team embraced a paperless way of working.

“Before, you couldn’t see the desks because of all the paper. We wanted a paperless office, but the system made it hard. With Qargo, from one day to the next, everyone was working paperless – even the colleagues I thought would struggle.Now they can’t imagine going back.” 

Despite a mix of ages and tech comfort levels, adoption was quick and even across the team – helped by a system that feels intuitive.

The results

Since going live with Qargo, T-Trex has seen improvements across the whole operation – not just in one department.

Measurable gains

What’s next?

Looking ahead, T-Trex is focused on two big priorities:

1. Accelerating its broader growth plans
Over the coming months, T-Trex aims to strengthen its role as a true control-tower provider with an expanded “one-stop-shopping” service, adding LTL and groupage to its existing FTL offering.  The team is also preparing for ISO9001 and AEO-S certification, while widening its footprint beyond food & beverage into additional industries. With modern tech and a highly responsive team behind it, T-Trex is positioning itself for its next chapter of growth.

2. Deepening how they use Qargo

  • Bringing purchase invoicing fully into Qargo from January
  • Exploring use of Qargo’s customer portal as a selling point for new customers who want self-service visibility
  • Exploring more of Qargo’s dashboards and BI insights to support internal reporting and performance tracking
