Let’s be honest: when something changes suddenly on the road, your drivers aren’t opening a fancy new app to let you know. They’re opening WhatsApp.
And your dispatchers are stuck juggling phones, computers, spreadsheets, and the TMS to reply and keep everyone updated.
But all of that is about to change. You can now reply on the same screen, without even leaving Qargo.
With our new WhatsApp integration, you can message your drivers directly from the platform. It’s the fastest, easiest way to share updates, ask questions, or receive a quick photo or PDF. No switching apps or copying phone numbers.
How does it actually work?
To get started, just connect your WhatsApp Business Account to Qargo. Once it’s set up, you’ll see a WhatsApp icon next to every eligible driver or resource in the platform.
From there, you can start a conversation from:
- The driver’s profile
- The trip overview
- The dispatch view
- Anywhere you see a driver or resource card
Each chat is tied to the driver, not just a single trip, so all your messages stay in one continuous thread. That means less clutter, easier tracking, and all the context you need, right where you need it.
Why does this matter?
First, your dispatchers will thank you. There’s no more app-juggling, because there’s no need for WhatsApp Desktop or personal phones.
WhatsApp is already the messaging tool most drivers (including your subcontractors) use daily, so you’re not asking them to download or learn something new. Plus, everything stays in one secure place. Messages are stored in Qargo, visible to your whole dispatch team, and linked directly to the right resource.
What’s the cost? (In plain English, please)
Good news: in many cases, it’s completely free.
- Inbound Chats: If a driver messages you first, you can reply and chat freely for 24 hours at no charge at all. Every time they reply, that 24-hour window resets.
- Outbound Chats: If your dispatchers initiate the conversation, you’ll send a pre-approved WhatsApp template message. This costs approximately $0.02 per message.
- Direct Billing: These fees are charged by WhatsApp (Meta), not by Qargo. You’re in full control. You manage your own WhatsApp Business Account and payment method—Qargo doesn’t charge extra or handle your message billing.
What can my drivers send?
Anything you’d expect in a normal WhatsApp chat!
- Photos: Share Proof of Delivery (POD), damaged freight, or signatures.
- PDFs: Scanned paperwork, load sheets, or documents.
- Other Media: Anything WhatsApp supports.
Attachments are available in Qargo for 7 days, giving your team plenty of time to download the important files.
Getting started is easy
You can be up and running in minutes. Just head to your organization settings in Qargo and add your WhatsApp Business Account. Once you’re connected, you’ll see the WhatsApp icon next to your drivers across the platform—whether you’re viewing a trip, a load, or the dispatch screen.
