This notice applies to visitors to our website (www.qargo.com), individuals who interact with our demos, forms and marketing, and authorised users of our web and mobile application (“App”).
This notice does not apply to Qargo employees or contractors, whose personal data is processed under a separate Employee Privacy Notice.
2. What Personal Data We Collect
We collect the following categories of personal data:
Website visitors and demo requestees:
- Contact details: name, job title, company name, work email address, phone number
- Information you submit through our website forms (e.g. demo requests, contact forms)
- Device and technical data: IP address, browser type, device type, operating system
- Usage data: pages visited, features accessed, time spent, referral source
- Cookie data: see our Cookie Policy for details
App users (Authorised Users of the Qargo TMS):
- Account information: name, work email address, role/permissions
- Usage data: how you use the Qargo TMS, including actions taken and features accessed
Personal data contained in freight or logistics data processed through the Qargo TMS on behalf of Authorised User’s employers is governed by the employer’s privacy notice and the data processing agreement between Qargo and the employer. Please contact your employer for information about that processing.
3. How and Why We Use Your Data
We process your personal data on the following legal bases and for the following purposes:

4. Sharing Your Information
We share personal data with the following categories of third parties:
Sub-processors and service providers: We use third-party providers to help us deliver our services (for example, cloud hosting, analytics, CRM, and communications tools). These providers process data on our behalf and are bound by data processing agreements. A full list of our sub-processors is available at trust.qargo.com.
Professional advisers: We may share data with lawyers, auditors and insurers in the course of obtaining professional advice.
Regulatory and law enforcement bodies: Where required by law or court order.
Group companies: Qargo Tech Ltd may share data with its group companies (Qargo Tech BV in Belgium; Qargo Tech Inc in the US, Qargo Tech NL in the Netherlands) for internal administrative purposes. Where such sharing involves international transfers, appropriate safeguards are in place (see Section 5).
5. International Transfers
Some of our sub-processors are based outside the UK and the European Economic Area (EEA), including in the United States. Where we transfer personal data to these countries, we ensure that appropriate safeguards are in place, which may include:
- Adequacy decisions: Transfers to countries that the UK or EU has recognised as providing an adequate level of data protection.
- Standard Contractual Clauses (SCCs): We use the EU Commission’s Standard Contractual Clauses (Decision 2021/914) and/or the UK International Data Transfer Agreement (IDTA) for transfers to countries without an adequacy decision.
- Data Privacy Framework: Where our sub-processors are certified under the EU-US Data Privacy Framework, we may rely on that certification.

6. Data Security
We take the security of your data seriously. We implement appropriate technical and organisational measures to protect your personal data, including encryption (in transit and at rest), access controls, multi-factor authentication, regular security testing, and an information security management system certified to ISO/IEC 27001:2022.Further details of our security practices are available at trust.qargo.com.
7. Data Retention
We retain personal data only for as long as is necessary for the purposes for which it was collected or as required by law. Our retention periods are as follows:

We use cookies and similar technologies on our website. 9. Your Rights
Under UK and EU data protection law, you have the following rights:
- Access: Request a copy of the personal data we hold about you.
- Rectification: Ask us to correct inaccurate or incomplete data.
- Erasure: Ask us to delete your data in certain circumstances.
- Restriction: Ask us to restrict processing of your data in certain circumstances.
- Objection: Object to processing based on legitimate interests or for direct marketing.
- Portability: Receive your data in a structured, machine-readable format.
- Withdraw consent: Where processing is based on consent, withdraw it at any time.

10. Data Breach Notification
In the event of a personal data breach that poses a risk to your rights and freedoms, we are required by law to notify the Information Commissioner’s Office (ICO) within 72 hours of becoming aware of the breach. Where a breach is likely to result in a high risk to your rights and freedoms, we will also notify you directly without undue delay.
Where a breach affects personal data processed in connection with our EU operations, we will also notify the relevant EU supervisory authority. This may be the Belgian Autoriteit Persoonsgegevens/Autorité de protection des données (APD/GBA), or the lead supervisory authority under the EU GDPR one-stop-shop mechanism, as applicable.

We may update this notice from time to time. We will notify you of significant changes by posting an updated notice on our website, and where appropriate by email. The “Last Updated” date at the top of this notice indicates when it was most recently revised.

SUPPLEMENTAL PRIVACY NOTICE
FOR UNITED STATES RESIDENTS

This Supplemental Notice applies solely to residents of States with comprehensive privacy laws (including Virginia, Colorado, Connecticut, Indiana, Kentucky, and others). This notice supplements Qargo’s general Privacy Notice and addresses specific requirements under US State Privacy Laws.
1 Your rights and choices
Under applicable US State laws, you may have the following rights regarding your personal information:
- Right to Opt-Out of Targeted Advertising: You have the right to opt-out of the processing of your personal data for targeted advertising. We use third-party cookies (such as Google and LinkedIn) which may be considered “Targeted Advertising” or a “Sale/Sharing” under state laws.
- Right to Appeal: If we decline to take action on your request to exercise a privacy right, you have the right to appeal our decision. Please contact us at legal@qargo.com with the subject “Privacy Appeal.” We will respond within 45 days (or as required by your state).
- Right to Access, Correct, and Delete: You may request to confirm if we process your data, correct inaccuracies, or delete your personal data.
2 Sensitive data & geolocation
- Website Visitors: We do not collect or track your “Precise Geolocation” (within 1,750 feet) when you visit our website.
3 De-identified data
We may maintain and use data in a de-identified form. We commit to maintaining and using such information in de-identified form and will not attempt to re-identify the information except to ensure our de-identification processes comply with applicable law.
4 Global privacy control (GPC)
We recognize Global Privacy Control (GPC) signals. If your browser broadcasts a GPC signal, we will treat it as a valid request to opt-out of targeted advertising for that specific browser.
5 Categories of third parties
In the preceding 12 months, we may have disclosed categories of personal data (Identifiers, Internet Activity) to the following categories of third parties:
- Cloud service providers (e.g., AWS);
- Analytics providers (e.g., Google Analytics);
- Advertising and Marketing partners (e.g., LinkedIn, Google Ads).
